The Éire Óg guide for club members, parents, players, coaches, team managers and administrators—using our teams, our permissions and our Pinebank pitch-booking system.

Created specifically for Éire Óg Craigavon GAC.
This guide follows the real Éire Óg app, team structure, permissions, communications and pitch-booking controls.
Club app guide

Create your club account

  1. Create an account.Enter your name, email and password.
  2. Confirm the newest email and sign in.Use the same account for every club role.
  3. Choose your connection.Home offers Get started, or Skip for now. You can always open Roles & Teams later.
  4. Build your review list.Choose one role, its relevant teams and an optional note. Add another role if needed.
  5. Submit all requests and return Home.Nothing is submitted until this final step. Every item must be valid; a failed batch leaves the review list available to correct.

Requests grant no private team access until approved. Add children separately in More → Profile / Settings → My Children.

Already invited?Use the exact invited email. A valid invitation is claimed after verified sign-in while its sender remains authorised. Invitations last seven days. The app does not email them; the inviter shares the ordinary login link.

Club app guide

Who can do what?

One account can hold several independent roles. A team role applies only to its named team and within its approved dates.

  • Club App Administrator: system administration, protected access management, teams, notices and audit history. Derek’s existing access is protected.
  • Executive Committee Member: Executive and Committee areas; may approve another Executive, Committee and lower-level appointment. Cannot create an Administrator or remove Executive membership. May suspend/reactivate eligible lower-level accounts, but not Executive peers or Administrators.
  • Committee Member: Committee area; appoints Managers and reviews lower-level requests. No Executive or Administrator authority or whole-account suspension.
  • Team Manager: approves Coaches, Volunteers, Parents/Guardians and Players only for assigned teams. Cannot appoint another Manager or suspend an entire account.
  • Coach / Volunteer: operations and messaging for assigned teams; no approval authority.
  • Parent / Guardian / Player: approved team information, without staff controls.
  • Club Member / Supporter: basic club information; private team access needs an approved connection.

A title such as Chairman, Secretary or Treasurer describes an Executive office. The title does not give Administrator powers or make someone Manager of every team. Nobody may approve their own role request. Website News editing and club-wide broadcast permission remain separate.

Club app guide

Set up a team

  1. Maintain the team.An App Administrator opens Club management → Maintain teams to create or rename a team.
  2. Appoint Managers.A Committee member, Executive member or App Administrator uses Pending approvals or People & Roles.
  3. Connect team staff and members.Managers use Pending approvals, People & Roles and Invitations for their own teams.
  4. Use individual accounts.Existing members request access through Roles & Teams. Future members can receive a saved invitation.
  5. Choose the team context.My Team switches between approved teams. Managing one team does not grant authority over another.

If no approved Manager is assigned, requests remain available to Committee, Executive and App Administrators. Do not grant Administrator access merely to run a team.

Profile identity

Add, replace or remove an adult profile photo

Optional photographs of yourself alone. Children’s records use initials only.

A photo helps recognition. An approved role badge confirms the club role. Neither a photograph nor a job title typed into your name grants permission.

  1. Open More → Profile / Settings → My Profile.Check that the name shown is yours. Your initials and current approved roles appear above Contact details.
  2. Choose Add profile photo or Replace profile photo.Select a JPEG, PNG or WebP photograph of yourself alone, no larger than 5 MB. Your phone may offer Take Photo. HEIC and SVG are not supported; use a JPEG, PNG or WebP copy instead.
  3. Use Preview and crop.Adjust Zoom, Move left / right and Move up / down. The square crop will be displayed in a circle, so keep your face away from the edges.
  4. Confirm the adult/self-photo statement.Tick “I am 18 or over and this photograph shows only me, not a child or another person.” Select Save profile photo, or Cancel to discard the preview.
  5. Wait for success.Upload progress is followed by secure processing. Avoid submitting twice. The message “Profile photo saved. Public display remains off.” confirms success.
  6. To remove it, open Remove profile photo.Confirm that you want initials instead, then select Remove profile photo. Your account and approved roles stay unchanged.

Photos are private by default. The app saves a small 512 × 512 image, not the original full-resolution file, and removes EXIF/GPS and other metadata. It does not remove information visibly present in the photograph.

Validation or a failed replacement does not deliberately remove your previous photograph. If a request times out or the connection is interrupted, refresh first to check whether it saved before trying again.

No children’s photographs. Never use a child’s photo as your adult profile picture. Children have no photo-upload option. See Children and guardians for the distinction between this block and the club’s wider no-child-photo rule.

Profile identity

Initials, approved badges and multiple roles

Read the person’s name, approved role and team—not just their picture.

What initials mean

Initials can mean that no photo was uploaded, the photo was removed, you do not have permission to view it, or the image could not load. They do not mean that the person is unapproved. An adult without a photo and a child may both have initials: check the person’s name, the section they appear in, and any approved adult role or relationship label. Children have initials, a distinct child icon and the words Child profile. Adults without photos retain adult relationship or approved-role labels.

What an approved badge means

A green check badge identifies a current approved club role, such as Team Manager, Coach, Committee Member, Executive Committee or Club App Administrator. It is not photo or identity verification. Parent / Guardian, Player and basic member relationships use simpler labels.

Requested roles remain Awaiting approval; rejected, revoked, expired and not-yet-started appointments do not receive a current approved badge. A title such as Chairman describes an Executive office; it is shown separately from the Executive permission badge.

One person, several appointments

Your own profile and authorised role-management views show your current roles. Similar team roles may be grouped with several team names. In My Team, only the selected team’s role is shown. Executive and Committee views show the relevant club appointment; messages show the relevant message/team context.

For example, someone may be an Executive officer and manage two teams. The full permitted profile shows those appointments, while each team card shows only its own Manager role. Revoking one team assignment leaves the other valid appointments intact.

Access is checked again on each request. An already-open screen refreshes when focused and periodically; refresh to update visible badges after a change. A copied image or screenshot cannot be recalled.

Photo privacy

Who can see a private photograph?

Current approved roles, teams and requests control access.

  • You: your own adult profile photograph.
  • Parents and approved adult team members: approved Managers, Coaches and Volunteers for their linked teams—not other parents, unrelated staff or private applicants.
  • Coaches and Volunteers: their current team staff—not a gallery of parent photographs.
  • Managers: relevant adults in each team they manage and eligible pending applicants for that exact team. Rejected, cancelled and expired requests no longer grant request-based photo access.
  • Committee: staff appointments and eligible staff applications within their existing responsibilities, not all parents.
  • Executive: authorised Executive/Committee/staff role administration and eligible applications, not an unrestricted photo directory.
  • App Administrator: legitimate adult account administration and moderation.
  • Basic members/supporters: their own photograph and separately approved public officer photographs.

Initials appear when a photograph is not available or permitted. Photos do not broaden access to private contact details. Receiving a broadcast alongside another parent does not grant access to that parent’s photograph.

When a role or team relationship ends, it stops granting private-photo access. A separate current relationship may still allow access. Do not share private photographs or photo links outside their intended club context.

Owner and administrator

Public officer photographs

Public display is a separate choice and defaults to OFF.

Uploading a private profile photo never automatically publishes it on eireog.com. Publication needs a current appropriate Executive office, explicit owner consent for that appointment, and administrator approval. A Manager or Coach role alone is not enough.

  1. The officer opens Profile / Settings → My Profile.After saving a private photo, open Public website photograph — OFF. This panel is available for an eligible current Executive office; existing consent can also be withdrawn there.
  2. Choose Officer appointment and give consent.Read and tick “I allow Éire Óg Craigavon CLG to display my profile photograph on the public club website while I hold an appropriate public club role.” Select Save public consent.
  3. Wait for administrator approval.Consent alone does not publish the photograph. The panel explains that it is waiting for approval and is not public.
  4. An App Administrator opens Club management → People & Roles.Find the person, open Administrator photo controls, confirm the appointment is an appropriate public-facing office and select Enable public officer photo.
  5. Check the public Contacts page.Only the approved name, office and photograph are added. The photo service does not expose private email, phone or membership information.

The owner can select Withdraw public consent. An administrator can select Turn public display off. Replacing/removing the photograph or changing/ending its appointment also stops publication; a new photo/appointment needs fresh consent and approval. Refresh the public page to see the current display.

The general Photos and media choice under Privacy is not a substitute for this separate public officer-photo consent. An administrator cannot consent on someone else’s behalf. Withdrawal stops further delivery, not copies a visitor already saved.

App Administrator

Photo moderation and audit

Remove an inappropriate photograph without changing the account or roles.

  1. Open Club management → People & Roles.Find the person. Administrator photo controls appears only to an App Administrator and only when a photo exists.
  2. Enter a Moderation reason.Use a brief, necessary explanation, up to 500 characters. Confirm that only the photograph will be removed.
  3. Select Remove profile photo.Initials return; the account and approved roles remain unchanged.
  4. Open Audit History → Profile photo audit.Review who changed a photo or public setting, when, and any moderation reason. The most recent 100 photo events are shown.

Pending storage tasks shows queued cleanup work. If storage removal temporarily fails, the unused image is retried when My Profile opens or a photo changes; its old app URL no longer grants access. This is not a guarantee of immediate physical deletion.

Account and test-account deletion remains disabled until the existing verified-backup and coordinated-authentication safeguards are met. A future genuine account deletion queues the associated profile photo for removal, without deleting the club crest, logo or shared branding.

Photo and badge problems

Keep your existing account and check the message shown before retrying.

I cannot add a photograph

Use your own adult Profile, not a linked child record. Known under-18 accounts and accounts with an invalid recorded date of birth cannot upload. Ask an App Administrator to review an incorrect record; do not enter a false date to bypass the restriction.

Choose JPEG, PNG or WebP under 5 MB, not HEIC or SVG. Confirm the adult/self-photo checkbox to enable Save profile photo.

The photo took too long or the connection was interrupted

Refresh your profile first to check whether the upload completed. Do not repeatedly submit or immediately replace the image again. If it did not save, retry once your connection is stable.

The app says the photo changed or there were too many changes

For a changed photo/account, refresh to load the latest state before acting again. For “Too many photo changes. Please wait ten minutes.”, wait ten minutes before another upload or enable action. Withdrawing public consent and turning public display off are not blocked by that upload limit.

I still see initials, or cannot see somebody else’s photo

Initials are the normal fallback for no photo, removal, no viewing permission or a loading failure. Refresh once and check your connection. Do not assume a person is unapproved or ask for wider access merely to see their photo.

Children always use initials. Adults without a photo may look similar: use names, the Children linked to you section and current role/relationship labels. Children have initials, a distinct child icon and the words Child profile. Adults without photos retain adult relationship or approved-role labels.

A requested role has no approved badge

Check Roles & Teams. An Awaiting approval request is not an approved appointment. Expired, revoked or future appointments also grant no current authority. Refresh after an authorised change; do not create another account.

My photo is not on the public website

Private upload is not publication. Check your current Executive office, your separate public-photo consent and the administrator’s enablement. Replacing the photograph or changing the appointment turns public display off. See Public officer photographs.

Club app guide

Sign in and recover your account

Use your existing email and password. Facebook remains available where its setup permits it; Google is labelled setup pending until enabled. If a social sign-in fails, use the email sign-in option for your existing account.

Creating an account

Enter your full name, email and password, confirm your email, then sign in. Basic account creation does not need committee approval. Use Roles & Teams afterwards for optional roles and team connections.

Forgotten password

  1. Choose Forgot your password? directly under Password.
  2. Enter your account email and request a recovery email.
  3. Open the newest email and continue through its recovery check.
  4. Enter matching new passwords and save. You should see Your password has been updated.
  5. Return to login and sign in.

A used or expired link cannot update a password. Request a fresh email instead of repeatedly opening the old link. Never share your password or recovery link.

Support Éire Óg

Make a secure donation

Donations are voluntary and use the club’s central Square payment system.

  1. Find Support Éire Óg lower on Home.It appears below everyday actions and club activity.
  2. Press Make a secure donation.The club’s donation form opens on Eireog.com.
  3. Enter your details and amount.Choose £5, £10, £20, £50 or another amount. You can also choose whether your name and message may appear in Recent Support.
  4. Continue to Square.Square opens its secure hosted checkout to process the payment.
  5. Wait for confirmation.The club records the donation only after Square confirms that the payment succeeded.

Your payment information

Éire Óg does not collect or store your card number, security code or payment credentials. Square handles the transaction securely.

Your public choice

Your email, payment reference and membership information are never shown publicly. Your name or message appears in Recent Support only if you explicitly choose public display.

Gift Aid: Gift Aid is not currently advertised or collected because the receiving club entity’s eligibility must be verified first.

Club app guide

Children and guardians

Add and maintain your linked children under More → Profile / Settings → My Children, then request each child’s team connection separately. A child’s team connection is separate from the adult’s own roles. Linked guardians may cancel a pending request. An authorised reviewer approves or rejects it; team Managers and higher authorities can revoke an approved connection with confirmation.

Removing one connection does not delete the child, guardian relationships or unrelated teams. An Administrator manages guardian links and cannot remove the final guardian. A globally rejected child profile requires Administrator review.

Parents see only their own linked children. Team staff see only the minimum child and guardian information needed for their authorised teams. Do not put unnecessary DOB, medical or emergency information in request notes.

Initials only — no children’s photographs

Children’s profiles have initials and no photo-upload option. Parents cannot add a photograph to a child’s record. Adult profiles without a photo also use initials; use the person’s name, the Children linked to you section and any approved role/relationship label to tell them apart. Children have initials, a distinct child icon and the words Child profile. Adults without photos retain adult relationship or approved-role labels.

Do not upload or share photographs containing children in the app, including message attachments. The child-profile upload option is blocked, but message image attachments still exist and the app does not automatically detect children inside an adult upload or attachment. This club rule is not an automatic app-wide image filter.

Temporary important notices

App Administrators open Important notices, choose signed-in app only or public website and app, and enter the start/end time in UTC. UTC is one hour behind local time during British Summer Time. The banner appears only during that interval and can be ended early.

A public notice must not contain private member or child information.

Member guide

Schedule and availability

Tell team staff whether you can attend an event.

Open Schedule, then an event

Read the team, event type, title, date, start time, location and any notes.

Select available, unsure or unavailable. The selected choice is highlighted.

Choose another availability button at any time. Your latest response replaces the earlier one.

Afterwards, authorised team staff may record present, absent or excused. Ordinary members do not edit attendance.

Authorised reviewers

Find and use Invitations

Save the invitation, then share the app login link yourself.

  1. Open Club management → Invitations.Available to authorised Managers, Committee, Executive and App Administrators. Being a Coach or Parent alone does not grant invitation access.
  2. Use Invite an existing or future member.Enter Full name, the exact Email address they will verify, and a role/team you are permitted to grant. Managers stay within their own teams; Administrator invitations are not allowed.
  3. Select Save invitation.This saves a seven-day invitation; it does not send an email.
  4. Share the ordinary login link.Send the club app login link yourself. Do not share your password or a recovery link. The person signs in, or creates and confirms an account, using the exact invited email.
  5. Check its status.The invitation applies after matching verified sign-in, while it remains valid and the inviter still has authority. Use Cancel invitation for a pending invitation that is no longer needed.

If Invitations is missing, check your approved role and team scope. Ask an authorised reviewer; do not request Administrator access just to invite a team member. If an invitation expires, an authorised person can save a new one after reviewing the intended access.

Club app guide

Private messages

  • All Club: active approved members may read. App Administrators and expressly authorised broadcast publishers may post.
  • Executive: Executive members and App Administrators.
  • Committee: Committee, Executive and App Administrators.
  • Coaches & Managers: active team staff may read. This does not itself grant posting permission.
  • Team channels: approved team connections may read; authorised staff for that exact team and Administrators may post.

Being a parent on one team and a coach on another gives coaching controls only on the coached team. Permissions are checked again when sending or releasing a scheduled message.

Use Mark channel read to clear its unread count. Messages can be up to 2,000 characters. Attachments remain restricted to their channel’s permitted readers.

Never put safeguarding disclosures, emergency information or highly sensitive personal details in general team messages.

Fixtures, results and teams

The app uses the same public match information as Eireog.com.

Fixtures & results

Open More → Club activity for match information for teams visible to you. If the feed is unavailable, use Open the public match centre.

My teams

The team cards are read-only summaries. An ordinary user sees only teams approved for their account. An administrator sees all club teams so the cards do not mean the administrator personally belongs to every age group.

External club links

Club Lotto opens Klubfunder; Club Shop opens McKeever Sports; Membership opens registration options on Eireog.com. Payments remain with those services.

Club app guide

Roles & Teams

Your current approved roles, My Teams and pending requests are shown separately from past requests and previous assignments. Each role keeps its own scope and term.

  1. Open Request Another Role or Team at any time.
  2. Choose one role and press Continue. Executive titles are chosen by the approver, not the applicant. Administrator access cannot be requested here.
  3. Select the teams relevant to that role, add an optional note and choose Add to review list.
  4. Use Add another role or team if needed. Review every separate role/team pair and remove any accidental entry.
  5. Select Submit all requests and return Home. Existing approved roles and teams remain unchanged.

Duplicate approved or pending requests are rejected with a specific explanation. Errors preserve your selections. Only a fully saved batch returns Home with success. Pending requests show the expected reviewer; cancellation requires confirmation and affects only your own pending request.

Managers review lower-level connections for their exact teams. When no approved Manager is assigned, Committee, Executive or an App Administrator can review. Manager requests go to Committee/Executive/Administrator; Committee and Executive requests require Executive/Administrator approval. Other legitimate higher-level review authority remains unchanged.

For an existing child’s team connection, use Profile / Settings → My Children. Do not create another child profile or request an adult role to represent the child.

Member guide

Add the app to your phone

The app is a PWA, so it can sit on your home screen without an app-store download.

iPhone or iPad

  1. Open the app in Safari.
  2. Tap the Share button.
  3. Choose Add to Home Screen.
  4. Confirm the app name and tap Add.

Android

  1. Open the app in Chrome.
  2. Open the browser menu.
  3. Choose Install app or Add to Home screen.
  4. Confirm Install.

Installing the PWA adds an icon and app-like opening experience. It does not change your permissions or create a second account.

Messages and teamwork

Attachments, polls and volunteer rotas

These tools use the same private team and role permissions as the rest of the app.

Share an attachment

In a channel where you may post, attach a PDF, text file or JPG, PNG or WebP image up to 5 MB. Only people authorised for that channel can download it.

Vote in a poll

Open More → Club activity → Polls, choose one option and submit your vote. Authorised posters can create a poll with two to four different choices and may set a closing date.

Volunteer for a rota

Open More → Club activity → Volunteer rotas and choose Volunteer beside an available shift. Use Leave if you can no longer help.

Create a rota

Administrators can create club-wide rotas. Team managers, coaches and volunteers can create rotas only for their assigned teams.

Privacy: never upload safeguarding records, medical details or other highly sensitive information to an ordinary message channel.

Notification inbox and device alerts

Tap an alert to open the relevant item

A device notification is a secure shortcut to the message, approval or schedule item that caused it. If you are already signed in, the app opens the relevant channel or item directly. If Login appears, sign in with the account that received the alert; the app then continues automatically to that item instead of leaving you on Home.

If the item was removed, the app opens the safest available context and explains that it is no longer available. If your team role or permission changed, access is checked again and the private item is not shown. An alert for another account shows a general unavailable message without revealing its contents.

Pending Approvals is the work queue

A request alert names the person, requested role or child connection, and relevant team. Review request opens and highlights that exact approval card. Opening marks the alert seen but never approves or rejects the request. If it has already been completed, its final status is shown instead of a dead Review button.

Each eligible person receives one active alert per request. Several Managers can each receive it. Once anyone approves or rejects the request—or it is cancelled or otherwise no longer actionable—the related actionable alerts are handled automatically for every reviewer.

Turn on phone or browser alerts

  1. Open More → Profile / Settings → Notifications. First-use Home may also offer a setup card.
  2. On iPhone, open the installed Home Screen app first.
  3. Press Turn on notifications, then Allow in the browser/device prompt. Permission is never requested automatically.
  4. Choose alerts for this device. Use Turn off on this device when needed.

Not now dismisses Home setup for this account on this device. Settings remain available at any time.

Privacy and delivery

Message previews are deliberately limited—for example, New message in U16 Girls—and do not include the full private message. Your phone or browser ultimately controls whether any preview appears on the lock screen. Focus/Do Not Disturb, connectivity and operating-system settings can also affect delivery.

Important announcements, team/private messages, app-created schedule updates, role/approval updates, general club news, polls and volunteer rotas default to ON. Support/fundraising defaults to OFF. Each phone, browser or installed app has its own subscription, so enable or disable alerts on each device separately. Opening an alert on one device does not remove the other devices.

Send a test alert: In Profile / Settings → Notifications, use Send test alert to my devices. It goes only to active devices registered to your signed-in account. If the app says the notification service accepted it, check those phones. If it reports a setup or sending problem, share the exact message with an app administrator.

Known delivery limits

External website news and Google Calendar edits are not automatically monitored. Schedule alerts currently cover newly created in-app events. Scheduled messages are released when the app checks for due items, not by a guaranteed exact-time background service. iPhone/iPad device alerts depend on the installed Home Screen app and the browser/OS features available on that device.

Blocked permission, unsupported browsers, declined permission, subscription failures and server-save failures have separate explanations. A failed preference save retains previous settings. If turning off fails, the app warns that delivery may still be enabled.

Privacy and your data rights

Open More → Profile / Settings and scroll to Privacy & Data at the bottom, below Help. Read the Privacy Notice, control optional consent and request a review.

Optional consent

Photos/media and optional promotional updates are separate choices. Press Give consent only if you agree. Press Withdraw at any time. Ordinary membership and essential team messages do not depend on these optional choices.

Make a request

Choose access, correction, erasure, restriction or objection, explain what you want reviewed and submit it. The app records the submission and displays its progress and response target.

Deletion is reviewed

A request does not instantly erase records. An authorised administrator checks identity, other people’s privacy, club obligations and whether information must lawfully be retained before recording the decision.

Administrator guide

Managing privacy requests

Only authorised club administrators can view and update the private request queue.

  1. Open Profile / Settings → Privacy & Data at the bottom.Expand the Administrator privacy-request queue.
  2. Check identity and scope.Confirm who made the request and precisely which information is involved.
  3. Review the one-month target.Handle requests promptly; obtain appropriate club or legal advice if an exemption or extension may apply.
  4. Record the decision.Select In progress, Completed or Refused with reason and write a clear decision note.
  5. Carry out approved action carefully.Protect other members’ information and do not erase records merely because a request was submitted.

Important: the app helps administer requests but does not replace the club’s privacy notice, retention policy, lawful-basis assessment or professional advice.

Coach & manager guide

Create events and record attendance

Available to administrators and appropriate coaching roles for their permitted teams.

  1. Open Schedule → Add an event, then choose a team.Administrators may also choose Whole club; team staff use their assigned teams.
  2. Enter the event title.Use a clear name such as “U14 training” or the actual match.
  3. Choose Training, Match or Club event.This identifies the purpose in the calendar.
  4. Enter location, date, start time and optional notes.Pinebank is the default location but can be changed.
  5. Select Add to calendar.The event becomes visible to the appropriate members.
Attendance controls
Attendance · X present

Expands the roster for that event and shows availability responses.

Not marked

No attendance decision has been recorded yet.

Present / Absent / Excused

Records the member’s actual attendance outcome.

Save

Saves the selected attendance value for that member and event.

Administrator guide · calendar

Google Calendar in the app and on the website

Google Calendar remains the club’s master calendar. Éire Óg displays a read-only copy of its current entries.

Calendar views

Choose Day, Week (7 days), Month, Year or Schedule from the view menu. Daily and 7-day views place events on an hourly grid; half-hour starts sit halfway between hour lines. Overlapping events use separate, different-coloured blocks. The date buttons and weekend filter help you move around.

What members can see in the app

The app shows a person events for their assigned teams and approved dependent teams. Club administrators can see the full calendar copy. Existing app events and availability controls remain in the app calendar.

Website calendar

The public website displays the copied calendar entries in the club calendar page. Titles, dates, times and calendar locations are shown directly from the calendar snapshot.

Snapshot, not automatic syncing

The entries were copied from the connected read-only Google Calendar session. This snapshot does not update by itself; automatic refresh needs a separate secure read-only Google connection for the app/server. The source calendar is unchanged.

The current snapshot contains 265 entries from 25 September 2026 through 24 March 2027, copied on 25 September 2026. New Google Calendar changes will not appear until the snapshot is refreshed.

Request a pitch slot

Requests go through clash detection and start as Pending.

  1. Open Schedule → Pitch booking, then select the team.You can request only for a team you are allowed to manage, unless you are an administrator.
  2. Choose date and start time.Check existing requests before submitting.
  3. Choose 30 minutes, 1 hour, 1½ hours or 2 hours.This determines the end time used by clash detection.
  4. Choose Full pitch, Half A or Half B.A full-pitch booking conflicts with both halves. The same half cannot overlap another active request.
  5. Choose Training, Match or Club event.Then select Submit for approval.
Submit request→Pending→Approved or Declined
Changing or cancelling a booking

Select Change on your own pending request. Update the date, time, length, area or purpose, then choose Save changes. The request returns to Pending for review.

Choose Cancel booking to cancel your pending request. Administrators can change or cancel a wider set of active bookings.

If an approved booking needs changed and the control is not available to you, contact an administrator rather than creating a confusing duplicate.

Manage your teams

Open My Team and select a team. Managers see its staff, approved people, minimum child/guardian contacts, and links to messages, schedules and approvals. Committee oversight alone does not expose private child rosters.

Invitations and appointments

Use People & Roles to add an eligible role to an existing member, or Invitations for an existing/future verified email. Invitations last seven days and do not send email automatically. Share the app login link with the person.

Schedule a message

Expand Schedule for later under an authorised channel. Enter the message and a future UK local date/time. Cancel it from Scheduled announcements if it is no longer needed. If the sender’s permission expires or is revoked, it will not be released to that audience.

Parents read approved team channels; only authorised team staff post. Coaches/volunteers cannot approve membership requests.

People, roles and account security

Open More → Club management → People & Roles. Search and filter by role, team, status and Active / Suspended / Archived / Protected / Test accounts. Archived records are Administrator-only.

Roles and teams

Assign an additional role, renew an eligible term, or revoke one assignment with a reason and confirmation. These actions preserve unrelated roles and teams. A Manager removing one team relationship does not suspend the adult’s account. Titles do not determine security authority.

Account controls

  1. Find the person and expand Account controls.
  2. Choose Suspend, Reactivate, Archive or Restore, where authorised.
  3. Select a reason, add an optional internal note, confirm and submit.
  4. Check the success message and updated account status.

Suspension immediately denies protected app/API access even if the browser still has a valid login session. History remains. A suspension review date is a reminder, not automatic reactivation. Reactivate/Restore does not recreate revoked or expired roles or removed team connections. Internal notes are not shown to the affected user.

  • Administrator: all lifecycle controls for eligible accounts, plus email blocking.
  • Executive: suspend/reactivate eligible lower-level accounts only; no Executive peers or Administrators, no archive/restore or email blocks.
  • Committee and Manager: no whole-account suspension, archiving or email blocking. Existing scoped role/team authority remains.

Protected Administrator

Derek’s stable club identity is protected from suspension, archiving, blocking, demotion and test-account flagging even after an email change. There is no ordinary control to remove that protection. The final active Administrator is also protected. Rejected protected-account actions are recorded.

Blocked Emails

  1. Open Club management → Account Security → Blocked Emails.
  2. Enter the email and reason, optionally add an internal note, confirm and select Block email.
  3. Blocking an existing active account also suspends it. Matching ignores surrounding spaces and capital letters.
  4. To unblock, search the list, expand Unblock email, choose a reason and confirm. Reactivate the account separately if appropriate.

A blocked address cannot obtain usable club-app access or claim an invitation. Supabase may still create an authentication identity; the app refuses its member access. Verified email changes are reconciled on the next authenticated request.

Administration and history

Club management groups everyday management, Account Security and System links. Audit History → Account lifecycle audit records actor, target, time, reason, previous/new state and any internal note. History is append-only; the screen shows the latest 100 lifecycle events.

Permanent account deletion is not available. Test-account flags delete nothing. Development cleanup remains a separate controlled maintenance task.

Approve bookings and oversee operations

App Administrators review pitch bookings. Executive or Committee titles alone do not grant pitch-administration permission.

Approve

Confirms a Pending pitch request. The public website can later display approved availability as read-only information.

Decline

Rejects the request. Declined bookings no longer block the clash checker.

Change

Administrators can edit date, time, duration, pitch area and purpose. Saving changes returns the booking to Pending.

Cancel booking

Marks the booking Cancelled without deleting its record. Cancelled bookings no longer block another slot.

The public Eireog.com pitch view is strictly read-only. Booking, editing, moving, cancelling and approval belong inside the secure app.

Website administration

Manage Eireog.com News

News publishing has its own approval list, separate from app roles.

  1. Open Manage News on Eireog.com.Sign in with Facebook or Email using your central Éire Óg identity.
  2. Request editor access if needed.The website owner sees the request.
  3. The owner approves or rejects it.Approved editors can add stories; the owner can later remove access.
  4. Add the story.Enter headline, short summary, full text, category and date. An optional JPG, PNG or WebP image must be under 8 MB. An optional external link must begin with https://.
  5. Publish or delete.New stories appear on the homepage and News page. Delete removes the story and its uploaded image.

Giving someone Club administrator in the app does not automatically make them a News editor. Keep these permissions separate deliberately.

Administration safeguards

Supabase Auth remains the identity provider, D1 stores member/role/application records, and R2 stores private photos and attachments. No second user, role, team, messaging or notification system was introduced.

Current account status, approved assignments, dates and team scope are checked at protected server operations. Suspension/archive/block denies access despite an existing login session. Removing one role or team relationship never recreates or removes unrelated permissions.

Privileged role, account, guardian and photo changes retain append-only audit history. Derek’s stable Administrator identity and the final active Administrator are protected at multiple layers. Verified-email invitation claims still require a current authorised inviter.

Existing email/password login, account creation, confirmation, password recovery, Facebook and the Google setup placeholder remain. Private pages are not cached for offline use. Permanent deletion and automated test-account cleanup are outside normal administration.

Key controls

Submit all requests and return Home

Saves every item in your review list together, then shows success on Home. Invalid batches preserve the list.

Cancel request

Withdraws your pending request without deleting its history.

Approve / Reject request

Approve validates approval fields; Executive approval requires a title and only needs shared-office acknowledgement if the primary title is occupied. Reject needs no approval-only fields. Errors retain inputs. Success removes the pending card and automatically handles related alerts. If another reviewer acted first, the app says the request has already been actioned.

Assign role

Adds an eligible assignment; it does not replace other roles.

Save renewed term

Changes dates/season for the selected assignment.

Revoke role

Ends only the selected role after confirmation.

Remove team connection

Ends that child’s connection to the selected team without deleting the child or other team connections.

Save invitation

Stores a seven-day invitation; share the login link yourself.

Cancel invitation

Cancels a pending invitation that is no longer needed.

Add / Replace profile photo

Choose an adult self-photo and open the crop preview.

Save profile photo / Cancel

Save the chosen crop after the adult confirmation, or discard the unsaved preview.

Remove profile photo

After confirmation, return to initials. Administrator moderation also requires a reason.

Save public consent / Withdraw public consent

The owner controls consent for their current Executive office. Consent alone does not publish.

Enable public officer photo / Turn public display off

An App Administrator controls publication separately from owner consent.

Mark read

Marks an in-app notice read. Security notices cannot be disabled.

Controls a temporary app or public notice during its chosen interval.

Private access is stopped and historical records retained. An App Administrator may restore the account.

Common problems

Start with the simple identity and permission checks.

I can sign in but see Access unavailable

Ask an administrator to confirm your exact email, active status and invitation. If Facebook uses a different email, use Email sign-in with the approved address or have the administrator correct the record.

I cannot see my team

Check your current approved connections in Roles & Teams. A pending request does not grant team access. Ask the authorised team Manager, Committee, Executive or App Administrator to review the relevant request; a Coach role alone does not grant approval authority.

I cannot see a button mentioned here

The app intentionally hides controls your role cannot use. Check the roles table. If the task belongs to your role, ask an administrator to verify your role and team assignment.

Facebook sign-in does not work for an ordinary member

Facebook availability depends on its current provider setup. If it fails, use Email sign-in for your existing account and contact the club.

A pitch request says the area is already booked

Your requested time overlaps an active booking for the same half, or a full-pitch booking overlaps either half. Choose another time or area, or ask an administrator to review the existing request.

Fixtures and results are unavailable

Use the public-match-centre link. The app and website share match information, so a source or website-data issue may affect both temporarily.

I forgot my password

Do not create an unrelated account with another email. Choose Forgot your password? on the login page. Request a fresh email and open its newest recovery link. Never send your password through club messages.

Security

Club safety rules

Simple habits protect members, children and club information.

Use individual accounts

Never share one generic administrator password. Every action should be associated with the person authorised to perform it.

Use least privilege

Give the lowest suitable role and only the relevant teams. Revoke the specific assignment promptly when someone leaves a role; retain unrelated roles.

Protect children’s information

Keep safeguarding and highly sensitive personal information out of general team messages. Follow the club’s safeguarding procedures.

Review regularly

Periodically review active administrators, team managers, coaches, pending invitations and News editors.

Club offices and app administration

One account can hold several independent roles. A team role applies only to its named team and within its approved dates.

  • Club App Administrator: system administration, protected access management, teams, notices and audit history. Derek’s existing access is protected.
  • Executive Committee Member: Executive and Committee areas; may approve another Executive, Committee and lower-level appointment. Cannot create an Administrator or remove Executive membership. May suspend/reactivate eligible lower-level accounts, but not Executive peers or Administrators.
  • Committee Member: Committee area; appoints Managers and reviews lower-level requests. No Executive or Administrator authority or whole-account suspension.
  • Team Manager: approves Coaches, Volunteers, Parents/Guardians and Players only for assigned teams. Cannot appoint another Manager or suspend an entire account.
  • Coach / Volunteer: operations and messaging for assigned teams; no approval authority.
  • Parent / Guardian / Player: approved team information, without staff controls.
  • Club Member / Supporter: basic club information; private team access needs an approved connection.

A title such as Chairman, Secretary or Treasurer describes an Executive office. The title does not give Administrator powers or make someone Manager of every team. Nobody may approve their own role request. Website News editing and club-wide broadcast permission remain separate.
